Keeping the data we collect from you safe, secure and private is very important to us. This privacy policy explains how we, Lina Liu Nails&Lashes (LLNL), collect, use and protect any information about you when you use or interact with our website or visit us. This policy explains in detail how we ensure your data remains private when you fill in our online appointment forms, fill in our in-salon consultation forms and sign up to our marketing communications. This policy will explain what information we collect about you and how we use it.

At LLNL we take privacy seriously and only use the information we collect to provide our services. All data is collected in accordance with UK and EU law and is always kept confidential. Data will only be used by staff members of LLNL who are processing or completing your services. We do not share or sell the information we collect for any other purpose than providing the best possible service for our clients. As a matter of course, we will delete your identifiable information if you have not undertaken business with us after 2 years.
For transparency, listed are the business services we provide and how each service uses the information we collect.
We request the minimum level of personally identifying information to run our business effectively. This is data you provide us directly, for example, your name and contact details. We store notes with respect to services we undertake to ensure we maintain and exceed our level of service. For example, your preferred nails and lashes style, colour, how you like your coffee and who your favourite technicians are. We consider you have provided consent for us to store personally identifying information and information about your services based on your receiving services from us. Depending on the particular service(s) we are providing we may be required to ask questions related to your medical history. We will obtain your consent prior to storing information related to your medical history. Examples of medical data may be allergies, pregnancy or an injury that may impact our service.
The personal information that’s provided by you when booking your appointment online or in-salon is retained by LLNL and is stored on LLNL using an app software called Ovatu to secure database. This data is accessible by our staff who manage our appointments. We track who views this data and it is accessible only through secure passwords. When you book an appointment on our website, we take your name, phone number and email address. We need these details to enable us to contact you promptly if we need to discuss details of your appointment or booked service in the time between booking and commencing of your selected appointment.
When you book online we take a non-refundable £2.50 deposit to secure your date and time. We collect your card details and process these over iZettle, our secure online payment gateway. If you book an appointment in person, in our salon or over the telephone, we will collect and use the same information in the same way as mentioned previously. We never record telephone conversations.
We will contact you via phone, email or SMS to confirm appointments booked and remind you of upcoming appointments. We consider your having made the appointment as consent to undertake this activity but, if you want, you may opt-out at any time.
After visiting us we may send you an email or SMS asking you to rate our services and provide feedback. We consider your agreement and participation in the service as consent to undertake this activity but, if you want, you may opt out at any time.
We consider becoming a member of our loyalty program as consent to send you emails related to the loyalty program but, if you want, you may opt out at any time.
We will not undertake phone, mail, email or SMS marketing without you first providing consent for us to do so. Our marketing campaigns are automated and use rules based on services and products purchased and information we collect from you. For example, we may send marketing campaigns related to your birthday, the fact we miss you (you have not visited for 3 months) and other special days like Valentine’s Day and Christmas. Of course, you may opt out of receiving marketing material at any time.
We use numerous leading software solutions within our business to provide the services listed above. These software solutions store and process data in numerous locations outside our business premise.

Health information
Before your service, we need to collect some basic health information – this is to potentially highlight services that may have a negative effect on your health due to medication you are taking or a medical condition you have. You are required for health and safety purposes to disclose any medical conditions that might affect or be affected by your service. We can’t commence your booked service without this information. We collect this information in our salon immediately prior to your first service. It is your responsibility to inform us at future appointments whether any of these details have changed.
For insurance and legal purposes, we also need to collect your date of birth prior to service. We can’t perform any service without confirmation of your legal age and in some cases we may require ID to ensure you are of legal age for the service. We can’t perform services for under 16s without a completed consultation form and this must be provided along with given permission of the parental guardian.
Personal information provided on consultation forms, including name, date of birth and details of any medical information, is retained for 7 years after service. This is a legal requirement for our insurance to ensure there is data available for any future medical issues that may be related from your service. This data is collected using Consult, an App provided by Ovatu. On occasion we may use paper consultation forms in the event of the system being offline. In this situation we will keep paper consultation forms we collect in a locked file, only accessible by the company directors, and will only be reviews for individual insurance cases.
When we make the request for your health information, the reasons for the request will be clearly given along with the purposes of the processing. Explicit consent through a signature will always be required for us to obtain and process your health information.
You may come across hyper-links on this site. These hyper-links may take you to sites operated by other organisations which you agree we are not responsible for. When preparing our website we have taken every care possible. However, we have no control over any of the information you can access via other web sites and, in particular, we are not responsible for the privacy policies adopted by such other websites. Therefore, no mention of any organisation, company or individual to which our web site is linked shall imply any approval or warranty as to the standing and capability of any such organisations, company or individual on the part of LLNL.
